Onderwerp: Main instructions for the move of the offices to VO.

Dear all,
Move of our department is just around the corner.
To make this process go smoothly, we ask you to declutter and pack your office. Please complete this no later than the Friday before the move of your section.
Here are the main instructions:
1. Moving boxes and stickers:
* Pick up moving boxes in front of room WN-G076.
* There are two different moving stickers available from the technicians of your group or the secretariat; one for the labs and one for the offices. Label all boxes with the correct sticker, write down the room number of the new location on the sticker and stick it on the short side of each box/bin. This will make it easy for the movers to identify where each box belongs.
* Basement A Wing : white with light blue logo #010
* Ground Floor A Wing : white with fluorescent pink logo #150
* 1st Floor A Wing : white with yellow logo #030
* 2nd Floor A Wing : white with gray logo #040
* 2nd Floor B Wing : gray with white logo #041
* 3rd Floor B Wing : green with white logo #051
* 4th Floor B Wing : purple with white logo #091
* Group the boxes by floor: Create separate stacks for each floor. For example, all boxes for the first floor should be in one stack, second floor in another, and so on.
* Every employee can take one box with office items to the new building.
2. Personal items: Pack your personal items and take them home, or clearly label them for transportation.
3. Documents and papers: Sort and pack important documents. Make sure confidential documents are safely stored.
4. Electronic devices:
* Pack your chargers, webcam, non-standard monitors, and other personal devices.
* Leave standard monitors, port replicators, keyboards, and mice in WN; these are collected by IT.
* Large screens for presentations or meetings need to be certified. Check with your technician or secretariat.
* Take your laptop home.
5. Heaters and fans: Return heaters and fans from the department to the secretariat.
6. Plants: Label your plants with your name and department if they move with you.
7. Keys: Return your keys to WN building, rooms and labs, to the secretariat.
8. Declutter: Remove all personal items and trash. Leave your workspace and office empty.
9. Prohibited devices: Coffee machines, espresso machines and toasters are not allowed in VO.
10. Refrigerators and microwave ovens: These must be certified. Further information will follow.
11. 12. Opening hours VO: Boelelaan 1100: Monday to Friday 07:00 - 19:00. Gustav Mahlerlaan 2019: Monday to Friday 07:00 - 22:00.
13. Access VO: Access to lifts, workspaces and labs is only possible with a VU card with the correct authorization. You should have access to the building, the elevators, our offices on the 1st, 2nd, 3rd and 4th floor and Labs per section from 07.00 till 22.00 cet during weekdays. We just started with the additional access requests ( PLS first as they move this week ) but do not have an update yet.
14. Lockers in VO will be assigned to employees by the secretariat. These are intended for personal use and will not be opened by others in the meantime. We will start with the sections first moved in VO.
15. Cabinets/cupboards in VO will be shared between 3 employees. Additional keys have been ordered, but we have not yet received them.
16. WN – waiver : If you have cleaned out an office or Lab at WN building and there are no items left other than furniture and IT hardware, please sign of a declaration of waiver Declaration of waiver.pdf<https://vunl.sharepoint.com/:b:/r/sites/BETA-OE-GeneralInformationPhysicsAstronomy/Shared%20Documents/08.%20VU%20Onderzoeksgebouw%20-%20Research%20Building/Relocation%20script%20Physics%20and%20Astronomy/Declaration%20of%20%20waiver.pdf?csf=1&web=1&e=TC4L6Y> and attach the form to the outside of the door.
17. Worklocation update : Please update your worklocation here My Personal Data<https://performancemanager.successfactors.eu/sf/personalInfo?company=stichtingv&loginMethod=SSO>. If you order thru Lab Servant and/ or Sap/Hana, please update your worklocation there as well.
18. Laptop lock : If you will work from VO and you want to use a lock to secure your laptop to a desk, you can buy a suitable lock and reimburse this. Please make sure it is suitable for your laptop and be aware of the costs. Please use the following WBS code for this reimbursement : H/294600.150
19. Separately, possibilities for lockable cabinets or drawer units are still being considered.
