[Allpartners.music360-beta] Music360- Internal Reporting – Preparation for the Final Report [01/03/2024 until 28/02/2026]

Dear Partners,

As discussed in our meeting in Lisbon, I am sharing with you the instructions and timeline for the upcoming internal reporting, along with the reporting template and budget sheets.

 The purpose of this internal reporting is to provide:

  *   An overview of all activities completed, and

  *   A clear picture of the budget spent on staff effort and other cost categories.

  *
An overview of the budget planned for the rest of the project.

This information will allow us to assess whether any budget shifts are needed (e.g., if some partners are overspending or underspending). Based on this reporting, we will make the necessary adjustments.

In short, the following documentation needs to be provided to the coordinator:

  1.  Technical report  (Link here<https://drive.google.com/drive/folders/1unSjOSwGIlE5333PPCBuMc4ywRH3Eer2>):  Each partner is requested to complete this template with a summary of their activities carried out from February 2024 until now.

  2.  Budget sheet (Link here<https://drive.google.com/drive/folders/16YE571nrtur1rdInIxBROjK0iN_R9hRH>): In addition, please complete the budget sheet:

  *   You may use the version with separate sheets for cost justification and staff effort,

  *   Or the version where all information is consolidated into one sheet.

  *   Alternatively, you can reuse the sheet from the previous reporting round and simply update/refill it.

  *
Audit folder ( VU,UPV and BMAT): I've uploaded the audit process guidelines and also added two old audit checklists for inspiration (the sheets are old but can still provide a good overview if this is new to you).

     3.  Other guidelines from the HE website ( Link here<https://drive.google.com/drive/folders/1Q2g1wqtsABxlwNBLjv2p6g_o7eiZHSXw>): Here I've uploaded additional documents that may be useful to some partners, such as (open a scientific brochure, sharing scientific evidence with policymakers, RESPONSIBLE USE OF GENERATIVE AI IN RESEARCH, etc.)
