Beste Mirjam, Nelleke en Bart,

Bij deze sturen wij jullie alvast wat belangrijke informatie toe die ook in het eerstvolgende VU Zine te lezen zal zijn. Vóór het hoogseizoen betreffende international hires start, is het goed deze informatie mee te nemen en wellicht te delen met collega’s voor wie dit relevant is. Twijfel niet om bij vragen contact met ons team op te nemen.

Zomerdeadline International Office

Wil je een internationale gast of medewerker van buiten de EU aannemen per 1 september 2026 en hebben zij een inreisvisum, verblijfsvergunning of werkvergunning nodig? Dan het dringende verzoek vanuit International Office de aanvraag vóór 1 juni 2026 in te dienen.

Deze deadline is ingesteld vanwege grote drukte bij de Immigratie- en Naturalisatiedienst (IND), de ambassades en International Office. In de zomer stromen er veel internationale studenten en wetenschappelijke medewerkers in. Daarom wil International Office de aanvragen voor nieuwe internationale gasten en medewerkers zo snel mogelijk opstarten en afhandelen.
De deadline van 1 juni geldt ook voor het verlengen van gastvrijheid of arbeidscontracten van non-EU gasten en medewerkers. Complete aanvragen die vóór 1 juni binnen zijn, worden gegarandeerd afgehandeld en op tijd naar de IND verzonden.
Aanvragen die na de deadline binnenkomen, worden uiteraard in behandeling genomen, maar garanties kunnen dan niet worden gegeven.


Aannemen internationale stagiairs

Het beleid van ons International office vraagt stage-onboardings uiterlijk drie maanden voor de startdatum te ontvangen.

Veel studenten willen tijdens hun studie een stage lopen. Voor internationale stagiairs gelden een aantal regels, net zoals voor internationale werknemers en gasten. Een werkvergunning kan vereist zijn, of een stageovereenkomst kan voldoende zijn. Ook kan het nodig zijn een verblijfsvergunning te hebben. Wat precies van toepassing is, hangt onder andere af van de nationaliteit en de verblijfsduur van de betrokken persoon, maar ook of de stage een verplicht onderdeel is van een Nederlands of buitenlands studieprogramma. De begeleider en de instelling zijn ook verantwoordelijk voor het vinden van een veilige en hygiënische huisvesting vóór de startdatum van de stage.

Hoewel het International Office graag helpt bij het regelen van deze formaliteiten, kan het proces tijdrovend zijn en vertraging veroorzaken als wij de onboarding niet op tijd ontvangen. Dit heeft een effect op de student, die mogelijk tijd nodig heeft om elders te kijken als zij niet naar de Vrije Universiteit kunnen komen. Om te voorkomen dat dit gebeurt, ontvangen wij graag alle stage-onboardings drie maanden voor de startdatum. Wij behouden ons het recht om de onboarding te weigeren als wij deze te laat ontvangen.

Summer deadline International Office
Do you want to hire an international guest or employee from outside the EU as of 1 September 2026 and does he or she need an entry visa, residence permit, or work permit?
International Office therefore urgently requests that you submit your application before 1 June 2026.

This deadline has been set due to the high workload at the Dutch Immigration and Naturalization Service (IND), the embassies, and International Office. In the summer, many international students and academic staff are coming to VU Amsterdam. That is the reason International Office needs to start and handle the requests for new international guests and employees as quickly as possible.
The deadline of 1 June also applies to the extension of hospitality or employment contracts of non-EU guests and employees. Complete applications received before 1 June are guaranteed to be processed and sent to the IND on time. Applications received after the deadline will of course be processed but guarantees cannot be given.

Hiring international interns
International Office’s implementation policy requires that the onboarding of international interns be received no later than three months before the start date.

Many students wish to undertake an internship during their studies. A number of rules apply to international interns, just as they do to international staff and guests. A work permit may be required, or an internship agreement may be sufficient. A residence permit may also be required. What exactly applies depends, among other things, on the intern’s nationality and length of stay, but also on whether the internship is a compulsory part of a Dutch or foreign study programme. In addition, the manager and VU Amsterdam are jointly responsible for finding safe and hygienic accommodation before the start date of the internship.

Although International Office is happy to assist with these formalities, the process can be time-consuming and lead to complications if the onboarding is not started in good time. For this reason, International Office must have received the onboarding for international interns no later than three months before the start date. International Office reserves the right to refuse the onboarding of an international intern if the onboarding is received too late.
