Beste collega’s,

Terwijl een deel van de collega’s aan het genieten is van welverdiende voorjaarsvakantie en een deel weer terug is, bereiden we deze nieuwsbrief voor. Goed om met jullie te delen: dat er zowel in de VU zine als in de roosteruitvraag aandacht besteed wordt/zal worden aan de start van het academisch jaar 2026 (en start van het academisch jaar 2027). In beide jaren kiest de VU ervoor om het onderwijs voor de eerstejaars bachelor, premaster en eerstejaars master vanaf 1 september te laten starten en voor de hogerejaars studenten op respectievelijk maandag 31 augustus 2026 en maandag 30 augustus 2027. Onze onderwijsplanners gaan proberen dit zo min mogelijk invloed te laten hebben op het aantal geplande contacturen in die eerste week. Jullie medewerking en die van vakcoördinatoren, die eerstejaarscolleges verzorgen, wordt hierbij gevraagd.



Implementatie van ServiceNow

Per 16 maart start de VU met een nieuw customer service managementsysteem: ServiceNow. Dit is een systeem waar o.a. VU IT en HRM al mee werken.

Het beta Onderwijsbureau gaat ook met dit nieuwe systeem werken, wat zorgt voor meer uniformiteit en een betere samenwerking binnen de VU. Met de implementatie van ServiceNow zetten we een mooie stap vooruit in het verder professionaliseren van onze dienstverlening. 

De communicatie met studenten zal via ServiceNow verlopen, terwijl de communicatie met collega’s via interne email blijft gaan, zoals jullie dat nu gewend zijn. Het kan echter wel voorkomen dat je een bericht ontvangt dat uit het nieuwe systeem afkomstig is en deze berichten zullen er iets anders uitzien dan voorheen. 

Zoals bij elke overstap naar een nieuw systeem kan het zijn dat we in de eerste periode iets meer tijd nodig hebben voor de afhandeling van vragen en meldingen. We vragen daarom alvast om jullie begrip en geduld tijdens deze opstartfase.

Als je op canvas of elders materiaal hebt gepubliceerd, waarin je studenten verwijst naar studentenbalie of naar het onderwijsbureau (denk aan examencommissie of toelatingscommissie of studieadvies), neem dan even contact op met Sarah vd Bergh (s.a.c.m.van.den.bergh at vu.nl<mailto:s.a.c.m.van.den.bergh at vu.nl>). Zij kan dan een linkje met je delen met verzoek aan de opleiding het mailadres te vervangen door het linkje naar servicenow. Geen zorgen mails komen ook wel aan, maar de route wordt gewijzigd.

Teams-Canvas koppeling en uitfasering Zoom

Vorige week is Teams Meetings in Canvas aangezet en in het menu gekomen. Via Teams Meetings kunnen docenten eenvoudig online sessies inplannen in de vakomgeving van Canvas, vergelijkbaar met de huidige koppeling met Zoom. De Teams Meetings koppeling is gericht op reguliere medewerkers en studenten van de Vrije Universiteit Amsterdam en werkt enkel wanneer je in Canvas bij Settings je VU e-mailadres hebt ingesteld als primair mailaccount. Bij niet-reguliere accounts zal de koppeling daarom niet werken. Een link naar een Teams Meeting via bijvoorbeeld een page, is uiteraard wel gewoon benaderbaar voor niet-reguliere accounts. Het VU-contract met Zoom loopt op 1 mei 2026 af. Op 31 maart 2026 verwijdert functioneel beheer de Zoom koppeling in Canvas. Op Canvas (VU Tools for Education) is een Scribe instructie beschikbaar voor de docenten, en er is een Sharepoint pagina<https://vunl.sharepoint.com/sites/VanZoomnaarTeams?OR=Teams-HL&CT=1770825338487> ingericht met informatie over het gebruik van Teams.



De collega’s van IT geven in april en mei een aantal online sessies voor alle docenten (en ondersteuners) die behoefte hebben aan meer informatie over Teams voor (online) onderwijs. NSE response stijgt gestaag

Al dertien opleidingen hebben een responserate van meer dan 20%!

Veel dank aan iedereen die al de nodige aandacht heeft gevraagd in colleges of op canvas.

Een hoge response is niet alleen goed voor de representativiteit van de antwoorden, maar helpt ook bij het verhogen van de instroom.

Graag vragen we de opleidingen die nog minder response hebben om hier nog aandacht aan te besteden.



ANS

Implementatie van Ans op de VU - Vrije Universiteit Amsterdam.<https://vu.nl/nl/nieuws/2026/implementatie-van-ans-op-de-vu>
De Vu gaat net als de UvA en de HvA eerder hebben gedaan, overstappen van TestVision naar ANS. Inmiddels is bekend dat:

1.      We volledig toetsen met Ans per 31 augustus 2026 (wel eerder live voor voorbereiden toetsen). Vandaar dat dat al zichtbaar zal zijn bij de roosteruitvraag in UAS

2.      Het project ervoor gaat zorgen dat de docenten/examinatoren worden getraind door centrale trainers en dat er bij IT extra capaciteit hiervoor wordt vrijgemaakt.

Op bovengenoemde pagina worden updates gegeven over een en ander.



Digitale tentamens

Op 3 februari werd in het NU gebouw een grote praktijktest uitgevoerd met digitale toetsen. Conclusie was dat de combinatie TestVision Plus met chromebook niet betrouwbaar is. Inmiddels zijn er met behulp van een externe partij aanpassingen gedaan die voor de noodzakelijke verbeteringen hebben gezorgd.

Op 17, 18 en 19 februari is een geautomatiseerde praktijktest uitgevoerd in Emergo. Men onderzoekt nu welke noodzakelijke interventies gepleegd moeten worden.



Vanwege bovenstaande is het tentamenrooster voor periode 4 aangepast. Hierover zijn de betrokkenen geïnformeerd. Het komt erop neer dat de digitale toetsen die in Emergo waren gepland verplaatst zijn naar de campus en dat schriftelijke toetsen die op campus waren gepland verplaatst zijn naar Emergo. Testvision plus toetsen worden op vaste PC’s afgenomen. Men onderzoekt nu mogelijkheden om het aantal vaste PC zalen op campus uit te breiden.



Extra tentamengelegenheid 20 augustus voor BETA vakken

Dit jaar wordt op donderdag 20 augustus 2026 de extra tentamengelegenheid geboden aan VU studenten die nog één BETA-vak van hun opleiding moeten halen. De deadline voor studenten om zich hiervoor in te schrijven is 15 juli. Zodra een student wordt ingeschreven voor een vak ontvangen de betreffende examinator èn vervangend examinator een cc van deze inschrijvingsmail. Daarna ontvangen de examinatoren eind juni of in juli aanvullende informatie over de extra tentamengelegenheid en afnamevormen. Voorjaarsuitreikingen

De diplomauitreikingen van het voorjaar zijn gepland, namelijk voor HLS op 31 maart, voor NSM op 7 april en voor IS op 13 april. Alle uitreikingen worden georganiseerd in Theater 5 van het NU-gebouw. Omdat het aantal aanmeldingen per opleiding nu minder is dan in het najaar, organiseert niet iedere opleiding een uitreiking en worden sommige opleidingen samengevoegd in één feestelijke sessie.



VUSAM afdelingen in OnStage

Voor cursorisch onderwijs worden de afdelingen via UAS uitgevraagd die de VUSAM EC-bekostiging dienen te ontvangen. Voor individueel onderwijs gebeurde dit per student in 2024-2025 voor het eerst in OnStage. Deze maand zijn alle onderwijsbekostigingsgegevens over 2024-2025 gedeeld met business control. De implementatie van OnStage heeft bijgedragen aan een duidelijke vooruitgang in de volledigheid van de beschikbare gegevens voor de bekostiging van de stages en scripties. Team onderwijsdata bedankt alle collega’s die hebben bijgedragen aan deze stappen, ook namens business control. Ook voor 2025-2026 geldt: het invoeren van de VUSAM-afdeling in deze stap in OnStage zorgt ervoor dat de EC-bekostiging voor de begeleiding van de student uiteindelijk op de juiste plek terecht komt.



Nieuwe begeleidingsgroepen OnStage

In de maand april zal er gestart worden met het maken van begeleidingstrajecten voor academisch jaar 2026-2027. Zijn er wijzigingen in de scriptietrajecten? Stuur dan uiterlijk 27 maart een mail onstage.beta at vu.nl<mailto:onstage.beta at vu.nl>.

Roosteruitvraag 2026-2027 semester 1
Op maandag 23 februari is de roosteruitvraag voor semester 1, academisch jaar 2026-2027 van start gegaan. De vakcoördinatoren hebben een notificatie ontvangen om de roosterwensen in UAS door te geven. Om de roosterwensen in te voeren ga je naar https://uas.vu.nl/. Op het dashboard zie je aan de linkerkant een taak, onder het kopje Invoeren roosterwensen. Vakken waarvoor de informatie niet of (zonder bericht) te laat wordt ingevuld, zullen naar inzicht van de onderwijsplanner geroosterd worden. Latere aanpassingen zijn dan niet mogelijk. De deadline is vrijdag 13 maart. Houd bij het boeken van het onderwijs rekening met de beleidsafspraken, deze afspraken zijn in de uitvraag in UAS zichtbaar. Mocht de vakcoördinator bij een vak onjuist zijn, laat dit de opleidingscoördinator van jouw opleiding weten.  Uitvraag docentbeschikbaarheid
Op maandag 23 februari is de uitvraag docentbeschikbaarheid voor semester 1 academisch jaar 2026-2027 van start gegaan, waarbij de docenten hun beschikbaarheid voor het geven van onderwijs kunnen opgeven in UAS. Ga naar https://uas.vu.nl<https://uas.vu.nl/> en op het dashboard zie je aan de linkerkant een taak onder het kopje Invoeren beschikbaarheid. Belangrijk om hierbij nog extra aan te geven is om goed te kijken naar de dagindeling van 5 blokken. Gegeven de huidige schaarste aan onderwijsruimtes helpt het enorm als docenten ook beschikbaarheid aangeven in blok 1 en blok 5 en vooral ook op maandagen en vrijdagen. We verzoeken om per blok aan te geven of deze beschikbaar is voor het geven van onderwijs. Er zijn drie mogelijkheden: Beschikbaar, Liever niet en Niet beschikbaar. De deadline is eveneens vrijdag 13 maart.

While some of our colleagues are enjoying a well-deserved spring break and others have returned to work, we are busy preparing this newsletter. We are pleased to share with you that both the VU zine and the timetable survey will focus on the start of the 2026 academic year and the start of the 2027 academic year. In both years, the VU has decided to start teaching for first-year bachelor's, pre-master's, and first-year master's students on September 1, and for higher-year students on Monday, August 31, 2026, and Monday, August 30, 2027, respectively. Our education planners will try to ensure that this has as little impact as possible on the number of planned contact hours in that first week. We ask for your cooperation and also cooporation of our first year course coordinators.



Implementation of ServiceNow

On March 16, the VU will launch a new customer service management system: ServiceNow. This is a system that IT and HRM, among others, already use.

The Education Office Science will also start using this new system, which will ensure greater uniformity and better cooperation within the VU. The implementation of ServiceNow is a significant step forward in the further professionalization of our services.

Communication with students will take place via ServiceNow, while communication with colleagues will continue to take place via internal email, as you are currently accustomed to. However, you may receive messages originating from the new system, and these messages will look slightly different than before.

As with any transition to a new system, we may need a little more time to handle questions and reports during the initial period. We therefore ask for your understanding and patience during this start-up phase.

If you have published material on Canvas or elsewhere in which you refer students to the student desk or the education office (e.g., the examination board, admissions committee, or study advice), please contact Sarah vd Bergh (s.a.c.m.van.den.bergh at vu.nl<mailto:s.a.c.m.van.den.bergh at vu.nl>). She will share a link with you and request that the program replaces the email address with the link to ServiceNow. Don't worry, emails will still arrive, but the route will be changed.

Teams-Canvas link and phasing out of Zoom

Last week, Teams Meetings was activated in Canvas and added to the menu. Teams Meetings allows lecturers to easily schedule online sessions in the Canvas course environment, similar to the current link with Zoom. The Teams Meetings link is intended for regular employees and students of Vrije Universiteit Amsterdam and only works if you have set your VU email address as your primary email account in Canvas Settings. The link will therefore not work for non-regular accounts. A link to a Teams Meeting via, for example, a page, will of course still be accessible to non-regular accounts. The VU contract with Zoom expires on May 1, 2026. On March 31, 2026, functional management will remove the Zoom link in Canvas. Thirteen programmes already have a response rate of more than 20%!

Many thanks to everyone who has already drawn attention to this in lectures or on Canvas.

A high response rate is not only good for the representativeness of the answers, but also helps to increase enrollment.

We kindly ask the programmes that still have a lower response rate to continue to draw attention to this.

Implementation of Ans at VU Amsterdam - Vrije Universiteit Amsterdam<https://vu.nl/en/news/2026/implementation-of-ans-at-vu-amsterdam>

Like the University of Amsterdam (UvA) and Amsterdam University of Applied Sciences (HvA) before it, De Vu will be switching from TestVision to ANS. It has now been announced that:

 1. We will be conducting all exams using ANS as of August 31, 2026 (although it will go live earlier for exam preparation). This will therefore already be visible in the timetable query in UAS.

3.      The project will ensure that examiners are trained by central trainers and extra IT capacity will be available.

Updates on this will be provided on the above-mentioned page.



Digital exams

 On February 3, a large-scale practical test was conducted with digital exams in the NU building. The conclusion was that the combination of TestVision Plus and Chromebook is not reliable. With the help of an external party, adjustments have now been made that have resulted in the necessary improvements.

 On February 17, 18, and 19, an automated practical test was conducted in Emergo. The necessary interventions are now being investigated.

 Due to the above, the exam schedule for period 4 has been adjusted. Those involved have been informed. In short, the digital exams planned in Emergo have been moved to the campus, and the written exams planned on campus have been moved to Emergo. TestVision Plus exams are administered on fixed PCs. Options for expanding the number of fixed PC rooms on campus are currently being investigated.



Extra examination opportunity 20 August for BETA courses

This year, on Thursday 20 August 2026, the extra examination opportunity will be offered to VU students who still need to pass one BETA course of their programme. The deadline for students to register for this is July 15. As soon as a student is registered for a course, the relevant examiner and substitute examiner will receive a cc of this registration email. The examiners will then receive additional information about the extra examination opportunity and assessment forms at the end of June or in July. Spring graduation ceremonies

The Spring Graduation Ceremonies are planned and will take place as following: HLS on March 31, NSM on April 7, and IS on April 13. All ceremonies will be held in Theater 5 of the NU building. Because the number of participants per programme is less than in the fall, not every programme will have its own ceremony, and some programmes will be combined into one celebratory session.



VUSAM departments in OnStage

For course-based education, the departments that are to receive VUSAM EC funding are submitted via UAS. For individual education, in 2024-2025 this was done for the first time per student in OnStage. This month, all VUSAM data for 2024-2025 was shared with business control. The implementation of OnStage has contributed to clear progress in the completeness of the data available for the funding of internships and theses. The education data team would like to thank all colleagues who contributed to these steps, also on behalf of business control. The same applies for 2025-2026: entering the VUSAM department in this step in OnStage ensures that the EC funding for student supervision is ultimately allocated to the right department.



New coaching groups OnStage

In April, the preparation of the coaching groups in Onstage for the 2026–2027 academic year will begin. If there are any changes to the thesis trajectories, please send an email to onstage.beta at vu.nl<mailto:onstage.beta at vu.nl> no later than March 27th.

Schedule requests 2026-2027 semester 1
On Monday, 23 February, the schedule request for semester 1 of academic year 2026-2027 started. Course coordinators have received a notification to submit the schedule preferences in UAS. Please, go to https://uas.vu.nl<https://uas.vu.nl/>. On the dashboard, you will see a task on the left-hand side, under the heading Timetable requirements. Courses for which the information is not entered or is entered too late (without notice) will be scheduled at the discretion of the education planner. Later adjustments are not possible. The deadline is Friday 13 March. When booking your courses, keep in mind the policy agreements, these agreements are visible in the schedule request in UAS. If the course coordinator for a course is incorrect, please let the program coordinator of your programme know. The program coordinator can pass this on to onderwijsprocessen.beta at vu.nl<http://onderwijsprocessen.beta@vu.nl/>.

Staff availability
On Monday, 23 February, the request for staff availability for semester 1 of academic year 2026-2027 started, which permits teachers to submit their availability for teaching in UAS. Go to https://uas.vu.nl<https://uas.vu.nl/> on the dashboard you will see a task on the left under the heading Specification availability.

Important to note here is to look carefully at the daily schedule of 5 blocks. Given the current scarcity of teaching spaces, it helps  if staff also indicates availability in Block 1 and Block 5 and especially on Mondays and Fridays. We request that you indicate for each block whether it is available for teaching. There are three options: Available, Rather not and Not available. The deadline is also Friday 13 March.
