Beste collega’s,

De eerste tentamens van dit academisch jaar zijn afgenomen. We zijn blij en trots dat ondanks code oranje en het feit dat het herfstvakantie was met aangepaste dienstregelingen in het OV, alles goed is verlopen. Langzaam maar zeker hebben we het idee dat de laatste rafeltjes van 2024-2025 wel afgerond zijn, ook als het gaat om bezwaar- en beroepszaken. Een aantal van ons kan na een drukke zomer en start van het academisch jaar gelukkig weer aan de slag met wat zaken die we hebben uitgesteld en met voorbereidingen voor 2026-2027. Jullie zullen er misschien nog weinig van merken maar voor het onderwijsbureau loopt een groot project Servicenow. Als het goed is gaan we dit voorjaar werken met Servicenow in plaats van topdesk in het domein studentgerichte ondersteuning. Dat is best een spannende en impactvolle overgang.

Informatiepakket
Check de pagina van het Onderwijsbureau<https://vu.nl/nl/medewerker/beta-wegwijzer/onderwijsbureau-beta> voor de nieuwste versie van het Informatiepakket. Dit document is handig voor (nieuwe) docenten, opleidingscoördinatoren en overige Bèta medewerkers. Vanaf nu wordt het document één keer per jaar bijgewerkt en gemaild naar (vervangend) vakexaminatoren, vakcoördinatoren en docenten van Beta vakken.

VUnet Resultaatregistratie (VRR) periode 1
De tentamenperiode van periode 1 is voorbij en dat betekent dat de resultaten worden ingevoerd en gevalideerd in VUnet Resultaatregistratie<https://vu.nl/nl/medewerker/toetsen-en-beoordelen/vunet-resultaatregistratie-vrr> (VRR).
Het is belangrijk dat alle studenten die ingetekend zijn voor het tentamen een resultaat krijgen, zodat het vak kan worden afgesloten. Daarnaast geldt dat studenten met een onvoldoende of NVD automatisch voor het hertentamen worden ingetekend. Wanneer er géén resultaat of wanneer er een NS (no show) is ingevoerd wordt de student niet automatisch voor het hertentamen ingetekend. Studenten met een NS moeten zelf op VU.nl voor de herkansing intekenen.

Ter informatie:
- Een NVD wordt ingevoerd als eindresultaat als één van de deelresultaten nog onvoldoende is.
- Een NS (no show) wordt ingevoerd als een student is ingetekend op een tentamen maar niet is komen opdagen.
De nakijktermijn voor eerstejaars/BSA-vakken is 10 werkdagen, voor alle andere vakken 15 werkdagen.
Vanuit team Resultaten zal een reminder gestuurd worden naar de examinator voor alle vakken waarvan de resultaten na de gestelde nakijktermijnen nog niet in VUnet zijn gevalideerd.

Nederlandse en Engelse Taaltoets
De resultaten voor de Nederlandse en Engelse taaltoets zijn door het Taalloket bekend gemaakt en de resultaten zijn geregistreerd. Studenten kunnen de resultaten op VU.nl terugzien. Bij eerstejaars studenten die niet aan de Nederlandse of Engelse taaltoets hebben deelgenomen is een no show als resultaat geregistreerd. Deze groep studenten zijn door het Onderwijsbureau ingetekend voor de inhaalsessie van 12 november.

Schoolyear is live!
Schoolyear is een nieuwe digitale toetswerkplek waar de VU naar is overgestapt sinds 27 oktober. Deze toetswerkplek bestaat uit Schoolyear en een cloud-omgeving binnen de VU. Deze werkplek biedt veiligheid, betrouwbaarheid en is bovendien toekomstbestendig.
De veranderingen vindt zich voornamelijk plaats ‘achter de schermen’, aan de kant van IT. Maar ook in de voorbereiding van de toets.

Uitreikingen
De BETA diploma-uitreikingen zijn vanaf begin oktober weer succesvol van start gegaan. Er hebben inmiddels al tien uitreikingen plaatsgevonden en de organisatie van de overige uitreikingen is in volle gang. Studenten met een afstudeerdatum vóór 31 augustus 2025 kunnen deelnemen aan de uitreiking van hun opleiding. Het is elke keer weer een feest om de blije afgestudeerden met hun trotse familie en vrienden te zien op deze dagen!

Kennismaking studieadviseurs
De studieadviseurs van de Farmaceutische, Aard- en Levensopleidingen hebben verschillende kennismakingen achter de rug. Begin dit studiejaar hebben zij zichzelf geïntroduceerd tijdens de facultaire introducties. Snel daarna hebben zij een bezoek gebracht aan alle eerstejaarsgroepen om daar een presentatie te houden. Ook zijn de mastercoördinatoren geüpdatet over de studieadviseurs en werden ze gevraagd de masterstudenten te informeren.

Wellbeing Week 10-14 november - nodig jouw studenten uit om te komen
Van 10 tot 14 november staat de Wellbeing Week <https://edu.nl/ge4bx> weer op het programma: een week vol gratis workshops en pop-up activiteiten die studenten helpen om beter om te gaan met stress, veerkracht op te bouwen en balans te vinden tussen studie en privéleven. Om zoveel mogelijk studenten te betrekken bij de Wellbeing Week willen we je vragen om studenten actief te wijzen op de Wellbeing Week, bijvoorbeeld tijdens colleges, werkgroepen of via Canvas. Langstudeerders
De studieadviseurs benaderen ook dit najaar weer langstudeerders. We vragen hen per email om een update van hun studieplannen en bieden waar nodig hulp aan.
We attenderen studenten erop goed te blijven checken welke vakken zij nog missen, ook omdat curricula soms wijzigen. In de laatste fase van hun studie kunnen zij soms wat extra aandacht gebruiken. Hoewel lang niet alle studenten reageren op onze oproep, merken we ook dat we studenten met onze acties kunnen activeren.

Bezemtentamens
Als een vak niet meer wordt aangeboden heeft de student nog minimaal 1 keer recht op een kans het vak te behalen (artikel 3.5 lid 5 van de OER) Dit komt uiteraard regelmatig voor bij vakken die vervallen bijvoorbeeld vanwege curriculum wijzigingen of omdat onvoldoende studenten ophet vak intekenen en het vak in het kader van de portfolio analyse niet meer wordt aangeboden. Nadat het FB alle nieuwe curricula heeft goedgekeurd, maakt het OWB een inventarisatie van vervallen vakken en doen we een uitvraag naar bezemtentamens. Volgens onze planning gebeurt dat eind maart. Voordat curricula voor een volgend jaar zijn vastgelegd kunnen we nog geen afspraken maken over bezemtentamens, maar het staat een opleiding natuurlijk vrij om vast na te denken over een geschikte periode om de bezemtoets af te nemen (rekening houdend met de overgangsregeling). Het OWB neemt dus contact met jullie hierover op.

Canvas courses van 2023-2024 zijn dichtgezet
Op 22 oktober zijn in Canvas de courses/pagina’s van academisch jaar 2023-2024 dichtgezet. Dit betekent dat vanaf dat moment al deze pagina’s op "alleen lezen" zijn komen te staan. Dit heeft als gevolg dat docenten en studenten nog wel bij deze vakken kunnen, maar dat deze courses een "alleen lezen" status krijgen: de gebruikers houden toegang tot alle informatie waar ze eerder ook bij konden, en ze kunnen nog steeds gegevens exporteren als ze daar de rechten toe hadden, maar ze kunnen dus niets meer toevoegen of wijzigen. Mochten docenten bepaalde courses weer beschikbaar willen hebben, dan kunnen ze mailen naar canvas.beta at vu.nl<mailto:canvas.beta at vu.nl> en kan de pagina tijdelijk opengezet worden.

Nieuw in Canvas: cijfers uploaden en downloaden via Excel
Goed nieuws! Naast de standaard CSV-functionaliteit is nu de Gradeloader beschikbaar in Canvas. Hiermee kun je cijfers eenvoudig uploaden en downloaden via Excel, met een gebruiksvriendelijke interface die het proces overzichtelijker en sneller maakt. Je vindt de knop voor de Gradeloader naast de bestaande knoppen voor het importeren en exporteren van cijfers.

Curriculumuitvraag
De uitvraag van het curriculum voor academisch jaar 2026-2027 is begin oktober opengezet. De opleidingsdirecteuren en opleidingscoördinatoren hebben tot en met 10 november om de uitvraag in te dienen via UAS<https://uas.vu.nl/>. Daarna zal de uitvraag door worden gezet naar de voorzitter van de OLC. De OLC dient het uiterlijk 8 december een advies aan te leveren. Bij vragen kunnen jullie contact opnemen met Team Onderwijsprocessen (onderwijsprocessen.beta at vu.nl<mailto:onderwijsprocessen.beta at vu.nl>). Alvast veel dank voor de samenwerking.

Planning UAS inzetverdeling 2025-2026
Voor de verrekening van de VUSAM-bekostigde studiepunten, wordt de UAS-workflow ‘inzetverdeling’ gebruikt. Dit zodat de bekostiging van de behaalde studiepunten voor ieder bètavak op de juiste afdeling terechtkomt.
Via deze uitvraag worden vakcoördinatoren gevraagd in te voeren welke afdelingen voor hoeveel procent onderwijsinzet hebben geleverd voor hun vak. Opleidingscoördinatoren en/of -directeuren keuren deze vervolgens goed.  Voor het huidige academische jaar 2025-2026 wordt de onderwijsinzetverdeling op twee momenten uitgevraagd:

  *   Voor Semester 1 aan het einde van periode 3, vanaf 19 januari

  *   Voor Semester 2 aan het einde van periode 5, vanaf 18 mei

Dear colleagues,

The first exams of this academic year have been completed. We are pleased and proud that, despite the code orange alert and the fact that it was the autumn break with adjusted public transport timetables, everything went well. Slowly but surely, we feel that the last loose ends of 2024-2025 have been tied up, including objections and appeals. After a busy summer and start of the academic year, some of us are now able to get back to work on a number of issues that we had postponed and on preparations for 2026-2027. You may not notice much yet, but the Education Office is working on a major Servicenow project. We are hopeful that we can use this spring the Servicenow application instead of Topdesk in the area of student-oriented support. This is quite an exciting and impactful transition.

Teacher information guide
Check the Education Office page<https://vu.nl/en/employee/science-getting-started/education-office-science> for the latest version of the Teacher Information Guide. This document is useful for (new) teachers, programme coordinators and other Faculty of Science staff. From now on, the document will be updated once a year and is sent to teachers, examiners and course coordinators of the BETA courses.

VUnet Result Registration (VRR) period 1.
The exam period of period 1 is over and that means that the results are entered and validated in VUnet Result Registration<https://vu.nl/en/employee/educational-innovation/vunet-registration-of-results-vrr> (VRR).                                                                                                                  
It is important that all students who have registered for the exam receive a result, so that the course can be closed properly. Students with a failing grade or a NVD are automatically registered for the resit. If no result or if a no-show is entered, the student is not automatically registered for the resit. Students with an NS (No Show) must register for the resit themselves on VU.nl.

For your information:
- A NVD is entered on a final result if one of the partial results is insufficient.
- A NS (No Show) is registered if a student has registered for an examination but has not shown up.
The review period for first-year/BSA courses is 10 working days, for all other courses 15 working days.
A reminder will be sent by the Results team to the examiners of all courses of which the results have not yet been validated in VUnet after the set review period.

Dutch and English Language Test.
The results for the Dutch and English Language Test have been announced by the Taalloket and the results have been processed. Students can see their result on VU.nl. For first-year students who did not participate in the Dutch or English Language Test, an NS is registered as a result. This group of students have been registered by the Education Office for the catch-up session on 12 November.

Schoolyear is live!
The VU has implemented a new digital exam workspace for digital exams since October 27. This exam workspace consists of Schoolyear and a VU cloud environment. This workspace is safe, stable, reliable and also future proof.
The change will mainly take place ‘Behind the scenes’’, on the IT side. But also in the preparation of exams.

Graduation ceremonies
The BETA graduation ceremonies have kicked off successfully in early October. Ten ceremonies have already taken place, and the organization of the remaining ceremonies is well underway. Students with a graduation date before August 31 can attend a graduation ceremony. It's always a joy to see the happy graduates with their proud families and friends on these days!

 Introductions academic advisors
The academic advisors of the Pharmaceutical, Earth- and Life science programmes have made several rounds of introduction during the past few months. At the beginning of this academic year, they introduced themselves to new students during the study program introductions. Soon after, they visited all first-year groups to hold a presentation. The master coordinators were also updated about the academic advisors and were asked to share the information with the master students.

Wellbeing Week<https://edu.nl/ge4bx> is back on the agenda from 10 to 14 November: a week full of free workshops and activities that help students cope better with stress, build resilience and find a balance between their studies and private lives. In order to involve as many students as possible in Wellbeing Week, we would like to ask you to actively inform students about Wellbeing Week, for example during lectures, seminars or via Canvas. ‘Langstudeerders’
This fall the academic advisors (for Earth and Life sciences) call on ‘long term students‘ (in Dutch: langstudeerders) again. We will contact them and ask for an update on their study plans and offer help where necessary. We remind students to keep checking which courses they still need to take, partly because curricula sometimes change. In the final phase of their studies, they could use some extra attention. Although not all students respond to our messages, we have noticed that our actions can motivate students.

Broom examinations
 If a course is no longer offered, students are entitled to at least one more opportunity to pass the course (Article 3.5(5) of the TER). This occurs regularly with courses that are discontinued, for example due to curriculum changes or because insufficient students enroll in the course and it is no longer offered in the context of the portfolio analysis. Once the Faculty Board has approved all new curricula, the OWB will make an inventory of discontinued courses and we will issue a request for broom examinations. According to our schedule, this will take place at the end of March. Before the curricula for the following year have been finalised, we cannot make any agreements about broom examinations, but programmes are of course free to consider a suitable period for administering the broom examination (taking into account the transitional arrangement). The OWB will therefore contact you about this.

Canvas courses of 2023-2024 are closed
On Octobre 22, courses/pages from academic year 2023-2024 were closed in Canvas. This means that from then on all these pages will be set to “read only”. As a result, teachers and students will still be able to access these courses, but these courses will be given a “read-only” status: users will continue to have access to all the information they could previously access, and they will still be able to export data if they had the rights to do so, but they will no longer be able to add or change anything. Should teachers wish to have certain courses available again, they can email canvas.beta at vu.nl<mailto:canvas.beta at vu.nl> and the page can be temporarily opened.

New in Canvas: upload and download grades via Excel
Good news! In addition to the standard CSV functionality, the Gradeloader is now available in Canvas. This allows you to easily upload and download grades via Excel, with a user-friendly interface that makes the process clearer and faster. You will find the Gradeloader button next to the existing buttons for importing and exporting grades.

Curriculum request
The curriculum request for academic year 2026-2027 was opened for submission in early October. The programme directors and programme coordinators have until November 10 to submit the request in UAS<https://uas.vu.nl/>. After that, the request will be forwarded to the chair of the OLC. The OLC should submit the advice no later than December 8. Planning UAS educational allocation 2025-2026
For the distribution of VUSAM-funded credits, the UAS workflow “educational allocation” will be used. This ensures that the funding for the credits earned for each beta course reaches the correct departments. Through this workflow, course coordinators are asked to enter which departments have provided how much teaching effort for their course, in percentages. Programme coordinators and/or directors then approve this input.
For the current academic year 2024-2025, the educational allocation will be entered at two moments:

  *   For Semester 1 at the end of period 3, starting January 19

  *   For Semester 2 at the end of period 5, starting May 18
