Hierbij weer een nieuwsbrief van het Onderwijsbureau. Hoewel jullie er misschien weinig van merken geldt voor het onderwijsbureau en de studieadviseurs van andere afdelingen dat we vanaf maart met Servicenow gaan werken als het gaat om studentendienstverlening. Spannend voor ons, maar het gaat ons ook wat opleveren. Er is een koppeling met andere systemen en in de loop van 2026 gaat gewerkt worden met een virtual agent. We houden jullie op de hoogte.

NSE 2026
Ook dit jaar proberen we de NSE resultaten zo hoog mogelijk te krijgen.

Scriptieworkshop UB
Op 12 en 19 februari organiseert de UB weer een scriptie workshop voor master studenten, voor meer informatie zie de flyer die is bijgevoegd.

Planning aanmeldcijfers 2026-2027
Half februari zullen de eerste aanmeldcijfers voor de bèta bacheloropleidingen worden gedeeld met het opleidingsmanagement. Gezien de aanmeldtijdlijn worden masteraanmeldingen hierbij nog niet meegenomen.
De periodieke aanmeldingsoverzichten voor de hele faculteit worden vanaf maart gedeeld met een brede groep bètacollega’s. Vanaf medio mei worden er ook instroomprognoses toegevoegd. Opleidingsintroductie 2026-2027
Binnenkort starten wij met de voorbereidingen voor de opleidingsintroductie 2026–2027. Voor de bacheloropleidingen blijft het programma ongewijzigd. Voor de masteropleidingen is het programma echter aangepast. Masterstudenten ontvangen geen ondersteuning meer bij het intekenen. Uit de ervaringen van vorig jaar is gebleken dat er met name veel vragen waren over de inhoud van de vakken/opleiding, en minder over het intekenen zelf. Wij verzoeken jullie daarom om hier tijdens de opleidingsintroductie expliciet aandacht aan te besteden. Alle benodigde informatie hiervoor zal door ons worden aangeleverd. Oproep, Webinar-licentie van Zoom naar Teams
Vanwegen kostenbesparingen zal Zoom bij de VU uitgefaseerd worden en we gaan volledig over op Teams. Dit betekend ook dat de Zoom webinarlicenties uitgefaseerd gaan worden, en we naar Team webinars gaan. Helaas zal dit niet automatisch overgezet worden. Daarnaast is IT bezig met het implementeren van Teams in Canvas voor gewone meetings, zodra dit richting oplevering gaat zullen wij jullie ook meer informatie sturen. Deze functionaliteit zal voor alle docenten ingeschakeld worden en hoeft niet aangevraagd te worden.

Resultaten
Tussen 9 en 27 februari zal een deel van de herkansingen van periode 2 plaatsvinden. We hebben de examinatoren een verzoek gestuurd om de resultaten van het tentamen op tijd te valideren. Studenten hebben namelijk het recht om zich minimaal 10 werkdagen voor te bereiden op een herkansing.

Het is belangrijk dat alle studenten die ingetekend zijn voor het tentamen een resultaat krijgen. Studenten met een onvoldoende worden automatisch voor de herkansing ingetekend. Studenten die een No Show (NS) of voldoende als resultaat krijgen worden niet automatisch op de herkansing ingetekend. Deze studenten kunnen een formulier op VU.nl invullen als zij aan de herkansing willen deelnemen. Het Onderwijsbureau zorgt dan dat zij worden ingetekend. Maatregelen technische problemen met tentamens
De tentamenweek van december is alles behalve soepel verlopen omdat de techniek ons in de steek liet. Omdat de technische situatie in de Emergohal nog onvoldoende zekerheid biedt, is er besloten om de digitale tentamens in periode 3 op deze locatie om te zetten naar schriftelijk of naar de campus te verplaatsen. Daarnaast is voor grote TestVision plus toetsen op de campus, ondersteuning geregeld voor de gefaseerde opstart, zodat de omgeving met extra applicaties goed wordt opgestart voor iedereen. Deze week, tentamenweek  periode 3 hebben we op maandagmiddag te maken gehad met een landelijke Testvision storing. In de avond is vervolgens geconstateerd dat bij Testvision plus toetsen een bug optreedt bij studenten die in een laat stadium worden ingetekend, daarvoor zijn nu workarounds in het leven geroepen.  Namens alle betrokkenen vanuit de faculteit en de centrale diensten willen we alle docenten/examinatoren en ondersteuners bedanken voor hun flexibiliteit en inzet om dit mogelijk te maken.

Voor (structurele) oplossingen voor tentamens in onderwijsperiode 4 tot en met 6 worden diverse scenario’s onderzocht en zijn acties in gang gezet. FCO, SOZ en IT richten zich daarbij op de technische problemen in de Emergohal en het opstarten van TestVision Plus toetsen. Zo wordt er onder andere gekeken of er met een externe partij een betrouwbaar netwerk kan worden gerealiseerd in de Emergohal, onderzoeken we gelijktijdig mogelijke alternatieve toetslocaties voor grootschalige toetsen en worden stresstests georganiseerd.
Dat de huidige situatie om structurele oplossingen vraagt, ook voor de lange termijn, spreekt voor zich.

Vakken die dicht staan
Wij krijgen soms vragen over het aanpassen van de toegankelijkheid van een vak nadat de curriculumuitvraag is gesloten. Graag informeren wij jullie dat wij hierin geen wijzigingen meer kunnen aanbrengen. Vanaf 1 juli is de studiegids gepubliceerd en is deze leidend voor studenten, wij kunnen dan ook geen uitzondering maken.
Vakken kunnen enkel open of dicht worden gezet door de opleidingscoördinator/-directeur voor bepaalde studentgroepen (zoals extracurriculair) tijdens de curriculumuitvraag. Wijzigingen, die worden doorgegeven nadat de curriculumuitvraag is afgerond, kunnen enkel voor het opvolgende academisch jaar ingevoerd worden door de opleidingscoördinator/-directeur tijdens de nieuwe curriculumuitvraag.

BSA
Afgelopen week zijn de BSA-januaribrieven verstuurd naar eerstejaarsstudenten waarin ze advies krijgen over hun voortgang. Hogerejaarsstudenten die vorig jaar uitstel gekregen hadden voor het BSA en deze januari hun BSA wel hebben behaald, ontvingen ook een positieve BSA-brief.
Eerstejaarsstudenten die besluiten om vóór 1 februari te stoppen met hun studie, krijgen niet te maken met het BSA-advies en kunnen zich herinschrijven voor dezelfde studie, het volgende collegejaar. Tentamens
Door de invoering van Schoolyear bij digitale tentamens en digitale inzages is het van belang dat examinatoren, zodra zij een digitale inzage hebben klaargezet, contact opnemen met Beta Tentamenorganisatie zodat de correcte koppeling met Schoolyear kan worden gelegd.
Eveneens is het van belang dat studenten vanaf een week voorafgaand aan hun tentamen controleren of zij hun tentamen klaar zien staan in Testvision. Uiteraard kunnen zij het tentamen niet openen, maar als zij het niet klaar zien staan betekent dat dat zij niet ingetekend staan en dat met spoed alsnog dienen te doen.
Graag willen wij de examinatoren er nogmaals op wijzen dat het van groot belang is dat de volgende deadlines worden aangehouden:

  *   Schriftelijke tentamens: uiterlijk 10 werkdagen voorafgaand aan tentamendatum PDF aanleveren om via Beta Tentamenorganisatie te laten printen of uiterlijk 5 werkdagen voorafgaand aan tentamendatum geprint bij Beta Tentamenorganisatie aanleveren

  *   Digitale tentamens: uiterlijk 10 werkdagen voorafgaand aan tentamendatum dient de toets in Testvision klaar te staan.

Onderwijsinzetverdeling semester 1 in UAS
Op 20 januari is de UAS uitvraag voor de inzetverdeling van Semester 1 voor academisch jaar 2025-2026 uitgezet. Hiermee wordt aangegeven welke wetenschappelijke afdeling(en) het onderwijs per vak hebben geleverd, zodat de bekostiging van de behaalde studiepunten op de juiste afdeling terechtkomt.
Vakcoördinatoren van periodes 1 t/m 3 kunnen de onderwijsinzetverdeling t/m vrijdag 6 februari in UAS invoeren. Na de invoer door de vakcoördinatoren worden de taken naar de stap ‘Controleren’ overgezet bij de opleidingscoördinatoren en/of -directeuren. De ‘Controleren’ stap kan t/m vrijdag 20 februari worden uitgevoerd.
Voor de vakken van de Wiskunde en Informatica opleidingen wordt de invoerstap door de vakcoördinator overgeslagen en ligt de stap ‘Controleren’ bij de opleidingscoördinatoren en/of -directeuren.

Ketenplanning, UAS, uitvraag beleidsafspraken en roosterwensen semester 1
Zoals bekend is volgen wij de ketenplanning wat betreft alle uitvragen, deze is hier https://vu.nl/nl/medewerker/organisatie-van-het-onderwijs/ketenplanning-onderwijsplanning te vinden. Op dit moment staat de invoer van beleidsafspraken open. Dit zijn de afspraken vanuit de faculteit en de opleiding die worden gecommuniceerd aan de vakcoördinator tijdens het invoeren van de roosterwensen. Deze uitvraag staat tot 5 februari open.
Na sluiting kijkt Onderwijsprocessen deze afspraken na en zal ze daarna publiceren. Dit is precies op tijd voor de start van de roosteruitvraag voor semester 1, welke op 23 februari zal starten.
Graag brengen we het volgende nog extra onder de aandacht:
1. Indien de vakcoördinator gewisseld moet worden kan dit aan onderwijsprocessen.beta at vu.nl<mailto:onderwijsprocessen.beta at vu.nl> worden doorgegeven. Geef het ook aan dat het om academisch jaar 2026-2027 gaat, zorg dat er ook toestemming is vanuit de opleidingscoördinator voor deze rolwijziging en voeg de opleidingscoördinator toe in cc.
2. Indien er werkvormen ontbreken bij de invoer van de roosteruitvraag kunnen vakcoördinatoren dit doorgeven aan onderwijsprocessen.beta at vu.nl<mailto:onderwijsprocessen.beta at vu.nl>.

Situatie in Iran  - bericht van SOZ
Mogen we jullie vragen dit in overleg met studieadvies waar nodig op canvas te publiceren voor studenten; en voor medewerkers jullie gebruikelijke kanalen te gebruiken?

De afgelopen weken is de situatie in Iran ernstig verslechterd, en bereiken ons geluiden over bruut neergeslagen demonstraties, vermissingen en executies. De VU heeft (Iraanse) studenten en medewerkers die door dit nieuws (of juist het gebrek aan nieuws van bijvoorbeeld het thuisfront) ernstig geraakt zijn. Easy Access Regeling
De Easy Access Regeling (EAR), een afspraak over het hergebruik van auteursrechtelijk materiaal in het onderwijs, is met een halfjaar verlengd, tot 01 juli 2026. De huidige EAR2325 blijft daarmee van kracht. Onderhandelingen over een nieuwe regeling tussen UNL, UvO en UKB lopen nog. Planning application numbers 2026-2027
The first application figures for the beta bachelor's programmes will be shared with the programme management in mid-February. Given the application timeline, this will not yet include master's degree applications.
The regular application overviews for the entire faculty will be shared with a broad group of beta colleagues from March onwards. From mid-May, enrolment prognoses will also be included. Study programme introduction 2026-2027
We will soon begin the preparations for the study programme introduction for the 2026–2027 academic year. For the bachelor’s programmes, the programme will remain unchanged. For the master’s programmes, however, the programme has been adjusted. Master’s students will no longer receive support with course registration. Based on last year’s experiences, it became apparent that there were primarily many questions regarding the content of the courses, rather than the registration process itself. We therefore kindly request that explicit attention be given to this during the study programme introduction. All necessary information for this purpose will be provided by us. Request webinar licence from Zoom to Teams
The VU will close our Zoom licences and we will go fully to Teams due to budgetary reasons. This also means that the Zoom webinar licences will be closed and that we will gain Teams Webinar licences. Unfortunately IT will not  replace them automatically. That’s why we would like to ask you to fill out the following form if you are using Zoom webinars and would like to receive a license for Teams webinars. Additionally, IT is working on implementing Teams into Canvas for regular meetings. As soon as this is almost live, we will inform you all and send instructions. This functionally will be activated for all teaching staff, no additional request is necessary.

Results
A part of the resits of period 2 will take place between 9 February and 27 February. We have sent a request to the examiners to validate the results of the exam on time. This is because students have the right of at least 10 working days to prepare themselves for a resit.

It is important that all students who are registered for the exam receive a result. Students with a failing grade will automatically be registered for the resit. Students who receive a No Show (NS) or pass result will not be automatically registered for the resit. These students can fill out a form on VU.nl if they wish to participate. The Education Office will then register them for the resit. Measures because of technical problems with digital exams
The December exam period was rather stressful and did not go smoothly. Because the technical situation in the Emergo Hall still offers insufficient certainty, it has been decided to convert the digital exams in period 3 at this location to written exams or to move them to the campus. In addition, support has been arranged for the phased start-up of large TestVision plus exams on campus, to arrange that the environment with additional applications can be properly started up for everyone.  This week, during exam week period 3, we experienced a nationwide Testvision malfunction on Monday afternoon. In the evening, it was discovered that Testvision plus exams are suffering from a bug affecting students who were registered at a late stage. Workarounds have now been created to address this issue. On behalf of everyone involved from the faculty and central services, we would like to thank all lecturers/examiners and support staff for their flexibility and commitment in making this possible.

Various scenarios are being investigated and actions have been initiated to find (structural) solutions for exams in teaching periods 4 to 6. FCO, SOZ, and IT are focusing on the technical problems in the Emergo Hall and the launch of TestVision Plus exams. Among other things, we are looking into whether a reliable network can be set up in the Emergo Hall with an external party, we are simultaneously investigating possible alternative exam locations for large-scale exams, and stress tests are being organized.
It goes without saying that the current situation calls for structural solutions, including for the long term.

Course accessibility
We receive questions about adjusting the accessibility of a course after the curriculum request has been closed. We would like to inform you that we cannot make any changes in this regard. The study guide was published on July 1 and is binding for students, so we cannot make any exceptions.
Courses can only be opened or closed by the program coordinator/director for certain student groups (such as extracurricular) during the curriculum request period. Changes submitted after the curriculum request period has ended can only be implemented for the following academic year by the program coordinator/director during the new curriculum request period.

BSA
Last week the BSA January letters have been sent to all first-year students in which they receive advice about their progress. Students who got a BSA deferment last year and have passed their BSA this January have received a BSA letter as well.
First-year students who will quit their studies before February 1st, will not receive a BSA advice and can re-enroll for the same programme next academic year. Do you know students with language or writing problems?

The course will start on 24 February 2026, intended for all VU students (NT1 and NT2) who are studying a Dutch-language bachelor's program and want to improve their writing skills. Exams
With the introduction of Schoolyear for digital examinations and digital reviews, it is important that examiners contact the BETA Examination Organisation as soon as they have prepared the digital review, to make sure that the correct link to Schoolyear is established.
Likewise, it is important that students check whether their exam is available in Testvision one week prior to their exam. Of course, they cannot open the exam, but if they do not see it available, this means that they are not registered and must do so as soon as possible.
We would like to remind examiners once again that it is very important that the following deadlines are met:

  *   Written examinations: submit PDF files no later than 10 working days prior to the examination date for printing by Beta Examination Organisation, or deliver printed copies to Beta Examination Organisation no later than 5 working days prior to the examination date.

  *   Digital examinations: the test must be ready in Testvision no later than 10 working days prior to the examination date.

Educational allocation semester 1 in UAS
On 20 January, the request to enter educational allocation for Semester 1 for academic year 2025-2026 was sent out in UAS. This workflow specifies which academic department(s) have provided the teaching for each course, so that the funding for the credits earned reaches the correct department.
Course coordinators of periods 1-3 can enter the educational allocation in UAS until Friday February 6th. After input by the course coordinators, the tasks will be moved to the ‘Validate’ step for the programme coordinators and/or directors. The ‘Validate’ step can be done until Friday February 20th.
For the courses of Mathematics and Computer Science programmes, the input step for the course coordinators is skipped, and the ‘Validate’ tasks have been sent directly to the programme coordinators and/or directors.

Chain Schedule, UAS, policy texts and scheduling requests semester 1
As usual, we follow the chain schedule for educational planning with regards to all our requests. At this moment we are requesting the policy agreements, these agreements are the agreements of the faculty and the programme that will be communicated to the course coordinator when the scheduling request is done. This request is open until February 5.

After closing, team onderwijsprocessen will check the texts and publish them. This is in time for the scheduling request for semester 1, which will start on February 23. We would like to draw your attention to the following in regard to the scheduling request:

  1.  If the course coordinator needs to be replaced, please contact onderwijsprocessen.beta at vu.nl<mailto:onderwijsprocessen.beta at vu.nl> . Make sure that you also mention the academic year to which this is applicable, make sure that there is permission from the programme coordinator, and also add them to the CC.

  1.  If teaching methods, such as HC, WG etc. are missing, course coordinators can request them through onderwijsprocessen.beta at vu.nl<mailto:onderwijsprocessen.beta at vu.nl>.
Please make sure that these requests are done as soon as possible. This will help us prevent a big workload when the end of the request is approaching. Situation in Iran – message from SOZ

Over the past weeks, the situation in Iran has deteriorated severely, and we have been receiving reports of brutally suppressed demonstrations, disappearances, and executions. VU Amsterdam has (Iranian) students and staff members whoare deeply affected by this news—or by the lack of news from family and loved ones back home. Easy Access Agreement
The Easy Access Agreement, an agreement over the reuse of copyrighted material in academic education, has been extended by six months, until 30 June 2026. The current EAR2325 remains in effect. Negotiations on a new agreement between UNL, UvO and UKB, are ongoing.
