Beste collega’s
Hierbij sturen we jullie de nieuwsbrief van het OWB. We zitten inmiddels al een paar weken op dezelfde gang als het FB en de beleidsmedewerkers onderwijs in het hoofdgebouw. Als jullie in de buurt zijn wees welkom op de begane grond en de eerste etage van de B en E vleugel (voorheen PTHU).

Minormarkt evaluatie & verdere verloop
Op dinsdag 11 maart vond de VU Minor Markt 2025 plaats. De markt heeft weer aangetoond hoe belangrijk het is dat studenten zich tijdig oriënteren<https://vu.nl/nl/onderwijs/minor> op de minor die ze willen gaan volgen.
We vragen u om studenten hierin te stimuleren en te verwijzen naar de minorpagina<https://vu.nl/nl/onderwijs/meer-over/vu-student-aanmelden-minor>. Hierop staat alle informatie over aanmelding, inschrijving en - waar nodig - goedkeuringen. Het is belangrijk om bij studenten te benadrukken dat zij de tijd nemen om zich op de hoogte te stellen van het traject dat zij moeten doorlopen om deel te kunnen nemen aan de gewenste minor.

BETA-opleidingsintroductie
Over vijf maanden vinden de opleidingsintroductiedagen voor het studiejaar 2025 -2026 alweer plaats. De opleidingsintroductiedagen voor de bachelors zullen plaatsvinden op maandag 25 augustus en dinsdag 26 augustus en voor de (pre)masters op donderdag 28 augustus en vrijdag 30 augustus. Het programma van de opleidingsintroductie wordt in juni gepubliceerd op Vu.nl . Vragen met betrekking tot de opleidingsintroductie kunnen naar introductie.beta at vu.nl<mailto:introductie.beta at vu.nl> worden gemaild.

Resultaatverwerking eerstejaars BSA-vakken
Op 13 mei wordt de BSA-brief naar eerstejaars studenten verzonden. De nakijktermijn voor eerstejaars/BSA-vakken is 10 werkdagen, voor alle andere vakken 15 werkdagen. Vanuit team resultaten zal er een reminder worden verstuurd naar de examinatoren van de eerstejaars/BSA- vakken met de vraag om de resultaten op tijd te valideren.
Ter informatie: een NS (no-show) wordt ingevoerd als een student is ingetekend op een tentamen, maar niet is komen opdagen.

  *   Studenten die een NS als resultaat krijgen dienen zelf voor de herkansing in te tekenen.
  *   Studenten die een NVD of een onvoldoende als resultaat krijgen worden automatisch op de herkansing ingetekend.
Cijfercorrecties graag zo spoedig mogelijk naar resultaten.beta at vu.nl<mailto:resultaten.beta at vu.nl> mailen. Graag onder vermelding van: studentnummer, naam van de student, vakcode, vaknaam, het oude en nieuwe resultaat en de beoordelingsdatum. Na verwerking van de correctie wordt een bevestiging naar de examinator gestuurd.

Tentamens op tijd aanleveren
Wij willen graag nogmaals het belang benadrukken van het tijdig aanleveren van de schriftelijke en digitale tentamens, in het bijzonder van de tentamens die op een externe locatie (Sporthal VU/Emergo) worden afgenomen.
De schriftelijke tentamens moeten door ons in voldoende hoeveelheden gereproduceerd worden, ingepakt en klaargemaakt worden voor transport. Als wij de tentamens niet tijdig binnen hebben veroorzaakt dit veel stress, die we graag voorkomen. Wij zijn sinds januari te vinden in HG 1B-16.

Instellingstarieven
De collegegeld tarieven voor tweede graad studenten en studenten met een niet EER nationaliteit gaan flink omhoog. Vanuit de studentenadministratie wordt hier binnenkort over gecommuniceerd naar studenten die dit treft. Op de website staat dit uiteraard al langer. Zittende studenten hebben gedurende de nominale duur van hun opleiding + 1 jaar recht op het tarief waarmee ze gestart zijn (dat tarief wordt wel geïndexeerd). Onstage / Beoordelingsdatum in Onstage
Op dit moment is Onstage zo ingericht dat het moment dat de final assessment wordt ingevuld geldt als beoordelingsdatum. Dit is niet conform VU beleid: de inleverdatum moet de beoordelingsdatum zijn. De leverancier van Onstage is bezig het systeem aan te passen. Zodra dit is ingebouwd zal het onderwijsbureau ervoor zorgen dat dit goed geconfigureerd wordt. Heb je studenten waarbij het mogelijk van groot belang is dat de beoordelingsdatum de inleverdatum wordt, neem dan contact op met onstage.beta at vu.nl<mailto:onstage.beta at vu.nl> om opties te bespreken. Goed om te weten: als de student ingeschreven staat voor het thesis/stage-vak voor 24-25 en de beoordeling vindt plaats in september 2025, dan wordt deze altijd op 31-08-2025 gezet. Onderwijsinzetverdeling Semester 2
Vanaf 20 mei wordt de onderwijsinzetverdeling voor periodes 4 t/m 6 bij de vakcoördinatoren uitgevraagd in UAS. Deze zal vervolgens door de opleidingscoördinatoren of -directeuren worden gecontroleerd. Voor de Wiskunde en Informatica opleidingen zorgen de opleidingscoördinatoren voor de invoer, in plaats van de vakcoördinatoren.
Het is de verantwoordelijkheid van de vakcoördinator om bij vakken waar verschillende afdelingen bij betrokken zijn om de verdeling van de inzet per afdeling af te wegen en hierover goede afspraken te maken met de betrokken afdelingen (ook over de judo’s).

Openstellen van vakken
We krijgen regelmatig verzoeken van vakcoördinatoren om een vak open te stellen of juist dicht te zetten voor extra curriculair, bijvak, contractant en exchange. Dit hoort bij de curriculumuitvraag door de opleidingscoördinator aangegeven te worden en niet gedurende het jaar.
Het is belangrijk voor vakcoördinatoren dat zij weten dat als ze één student toestemming geven het vak extra curriculair te volgen, dat het vak open zal worden gesteld voor alle extra curriculaire studenten. Het Onderwijsbureau kan geen uitzonderingen maken door een enkele student in te tekenen.
Houd er rekening mee dat het openstellen van een vak kan zorgen voor een hoger aantal intekeningen (met mogelijke rooster consequenties) en dat er geen zicht is op de voorkennis van de groep studenten die je toelaat. Voor de studenten zelf geldt dat we geen voorzieningen kunnen treffen bij overlappende tentamens.

 Start uitvraag studiegidsteksten 2025-2026
Begin april starten we met het samenstellen van de nieuwe studiegids voor academisch jaar 2025-2026.
Er wordt via mail aan vakcoördinatoren uitgevraagd om in UAS<http://uas.vu.nl/> de studiegidsteksten voor vakken, aan minorencoördinatoren voor minoren, aan opleidingsdirecteuren en -coördinatoren voor opleidingen en opleidingsonderdelen, te controleren en eventueel aan te passen. In de eerste week van april ontvangen alle betrokkenen een mail met uitgebreide informatie over het aanleveren van de studiegidsteksten. Een paar belangrijke aandachtspunten zijn:

  *   Studiegidsteksten moeten overeenkomen met de vakgegevens die tijdens de curriculumuitvraag zijn ingevoerd. Veranderingen in voertaal en toegang tot het vak voor bepaalde groepen (extra curriculair, bijvak, etc) kunnen niet opgenomen worden in de studiegidstekst. Studiegidsgegevens en gegevens in UAS moeten gelijk zijn. Eventuele veranderingen kunnen door de opleidingscoördinator tijdens de curriculumuitvraag van 2026-2027 aangegeven worden.
  *   Als er ingangseisen en/of cijfervereisten vermeld worden in de studiegidstekst, kan dit enkel als deze ook in de OER vermeld staan.
  *   Voor nieuwe vakken en nieuwe opleidingsonderdelen dienen nieuwe teksten aangeleverd te worden.
  *   Voor de (door de opleidingscoördinator/-directeur) gekopieerde vakken moet er extra aandacht zijn. De studiegidsteksten van het oude vak zijn mee gekopieerd. Let erop dat deze aangepast worden.
De deadline voor het aanleveren van de studiegidsteksten via UAS, is maandag 12 mei 2025.
De deadline voor het goedkeuren en controleren van alle teksten door de opleidingscoördinatoren/opleidingsdirecteuren is woensdag 28 mei 2025. De studiegids<https://studiegids.vu.nl/nl/#/> wordt VU-breed gepubliceerd op 1 juli 2025.
Het is voor de studiegidsteksten belangrijk dat de juiste persoon als vakcoördinator of modulegroepcoördinator geregistreerd staat. Is dit niet het geval? Neem dan contact op met onderwijsprocessen.beta at vu.nl<mailto:onderwijsprocessen.beta at vu.nl>.

Uitvraag diplomasupplementteksten
Sommigen van jullie zullen het al weten, maar na maanden van voorbereiding vanuit het verbetertraject voor het uitvragen van diplomasupplementteksten zal op 1 april de uitvraag in UAS van start gaan.
Doel is om het uitvraagproces efficiënter, meer gestructureerd, transparanter en meer uniform te maken. Daarnaast is het op deze manier makkelijker om de diplomasupplementteksten te beheren en te wijzigen. Eén van de grondoorzaken voor inefficiëntie was het feit dat er meerdere systemen en applicaties in gebruik waren, met veel handmatig werk. Met een uitvraag via UAS is er één systeem waarmee veel handelingen geautomatiseerd kunnen worden. Denk aan het versturen van notificaties, het doorzetten van teksten naar SAP, van ‘geval-per-geval’ werken naar ‘bulk’-verwerking en kant- en klare voortgangsrapportages.
Het proces loopt gelijk met de uitvraag van de studiegidsteksten, in de eerste week van april ontvangen alle betrokkenen een mail met uitgebreide informatie over het aanleveren van de diplomasupplementteksten. Via de links hieronder is handige documentatie te vinden.

Minor market evaluation & further process
On Tuesday March 11, the VU Minor Market 2025 was organized. The market highlighted again the importance for students to prepare themselves in time on the minor (Minors - Vrije Universiteit Amsterdam<https://vu.nl/en/education/minor>) they want to pursue.
We ask you to encourage students in this and refer them to the minor page<https://vu.nl/en/education/more-about/vu-amsterdam-student-minor-registration>. On this page, you will find all information about application, registration and - where necessary - approvals. It is important to emphasize to students that they need time for preparations.

Study program introduction
In five months, the study program introduction days for the academic year 2025-2026 will be organized again. The study program introduction days for the bachelor’s will be organized on Monday 25 and Tuesday 26 August and for the (pre)Masters on Thursday 28 and Friday 30 August. The schedule of the study introduction program will be shared on VU.nl in June. Result processing first year BSA course
The BSA letters will be sent to the first-year students on the 13th of May. The review period for first year/BSA courses is 10 working days, for all other courses 15 working days. The Results Team therefore will send a reminder to the examiners of the first-year/BSA courses, with the request to validate the results on time.
For your information: a NS (No-show) is entered when a student has registered for an exam but was not present.

  *   Students who receive an NS as a result must register for the resit themselves.
  *   Students who receive an NVD or a fail are automatically registered for the resit.
Please email any grading corrections as soon as possible to resultaten.beta at vu.nl<mailto:resultaten.beta at vu.nl>. Please mention the name and number of the student, code and name of the course, the old and new grade and the assessment date. After processing a correction, a confirmation will be sent to the examiner.

Submitting exams as soon as possible
We would like to reiterate the importance of submitting written and digital exams in a timely manner, especially those which are held at an external location (Sporthal VU/Emergo).
The written exams must be reproduced by us in sufficient quantities, packed and prepared for transportation. If we do not receive the exams in time, it causes a lot of stress. Please help us to prevent this.
We are located in the Main building HG 1B-16 since January this year.

Tuition fee
The tuition fee rates for second-degree students and non EU students are going up significantly. Te student administration will soon communicate with students affected by this. On the website, this has already been stated for some time. Current students are entitled to the fee they started with during the nominal duration of their program + 1 year (this fee will be indexed). Onstage / Assessment date in Onstage
Currently, Onstage is set up in a way that when the final assessment is completed, this date is added to the grade as the assessment date. Vu policy requires: the submission date should be the assessment date. The supplier of Onstage is in the process of modifying the system. Once this is built in, the education office will ensure that this is configured properly for all trajectories. If you have students where it may be critical that the assessment date is the submission date, please contact onstage.beta at vu.nl<mailto:onstage.beta at vu.nl> to discuss options. If the student is registered for the thesis/internship course for 24-25 and the assessment takes place in September 2025, the assessment date will always be 31-08-2025. No further action is required for this. If you have any questions or concerns about this, please contact onstage.beta at vu.nl<mailto:onstage.beta at vu.nl>.

Educational allocation Semester 2
Starting May 20, the educational allocation for periods 4 through 6 will be requested from the course coordinators in UAS. This will then be checked by the program coordinators or directors. For Mathematics and Computer Science programs, the program coordinators will provide the input, rather than the course coordinators.
If more than one department is involved, it is up to the course coordinator to weigh the division of the allocation per department and to make proper arrangements with the involved departments (also for the judo’s).

Opening up courses
We regularly receive requests from course coordinators to open or close a course for extracurricular, secondary subject, contract education and exchange. This should be indicated by the program coordinator/director during the curriculum request and not during the academic year.
It is important for course coordinators to know that if they give one student permission to take the course extracurricular, that the course will be opened to all extracurricular students. The Education Office cannot make exceptions by registering a single student.
Please keep in mind that opening up a course may cause a higher number of enrollments (with consequences in terms of scheduling) and that we have no overview of the prior knowledge of the group of students you are admitting.  For the students themselves we will not be able to make special arrangements in case of overlapping exams.

Start study guide request 2025-2026
In early April we will begin compiling the new study guide for academic year 2025-2026.
A request will be made via mail to course coordinators to check and possibly adjust study guide texts in UAS<http://uas.vu.nl/> for courses, to minors coordinators for minors, to program directors and coordinators for programmes and program components. In the first week of April, all involved will receive an email with detailed information on how to submit the study guide texts. A few important points to note are:

  *   Study guide texts must match with the course data entered during the curriculum request. Changes in language of instruction and access to the course for certain groups (extra curricular, secondary subject, etc) cannot be included in the study guide text. Data in the study guide and UAS must be the same. Any changes can be included by the program coordinator during the 2026-2027 curriculum request.
  *   If entry requirements and/or grade requirements need to be mentioned in the study guide text, this can only be done if they are also mentioned in the TER.
  *   New texts must be provided for new courses and new program components.
  *   Extra attention must be paid to the courses copied (by the program coordinator/director). The study guide texts of the old course are copied along. Make sure that these are updated.
The deadline for submitting study guide texts via UAS, is Monday, May 12, 2025.
The deadline for approval and review of all texts by program coordinators/program directors is Wednesday, May 28, 2025. The study guide<https://studiegids.vu.nl/en#/> will be published VU-wide on July 1, 2025.
It is important for the study guide texts that the correct person is registered as course coordinator or module group coordinator. If this is not the case, please contact onderwijsprocessen.beta at vu.nl<http://onderwijsprocessen.beta@vu.nl>.

Request for diploma supplement texts
Some of you may already know, but after months of preparation from the improvement project for requesting diploma supplement texts, the request in UAS will start on April 1st.
The aim is to make the request process more efficient, structured, transparent and uniform. In addition, it will be easier to manage and modify diploma supplement texts. One of the root causes for inefficiency was the fact that multiple systems and applications were in use, with a lot of manual work. With a query via UAS, there is one system that allows many operations to be automated. Think of sending notifications, forwarding texts to SAP, working from ‘case-by-case’ to ‘bulk’ processing and ready-to-use progress reports.
The process is similar to the request for study guide texts, in the first week of April, all involved will receive an email with detailed information on how to submit the diploma supplement texts. Useful documentation can be found via the links below.
