Beste collega’s,
Het collegejaar loopt ten einde. Dat merken we natuurlijk goed bij het onderwijsbureau waar we met het ene been in 2025-2026 en het andere been in 2026-2027 staan. We hebben, net zoals iedereen docerend, studerend, ondersteunend, te maken met nieuwe applicaties zoals Onstage en we hebben veel te maken (gehad) met storingen en stakingen met de nodige gevolgen. We wensen iedereen voor wie de vakantie bijna start, sterkte toe met de laatste loodjes en vragen jullie om bij vragen of onduidelijkheden via chat, mail, telefoon of persoonlijk, contact met ons op te nemen. We zorgen er bij het OWB voor dat ook in de zomermaanden bereikbaarheid gegarandeerd wordt. We willen in deze periode de ondersteuningslijnen graag zo kort mogelijk houden, ten behoeve van de studenten uiteraard.

Extra tentamengelegenheid 21 augustus voor BETA vakken
Dit jaar wordt op donderdag 21 augustus 2025 de extra tentamengelegenheid geboden aan VU studenten die nog één BETA-vak van hun opleiding moeten halen. De deadline voor studenten om zich hiervoor in te schrijven is 15 juli. Zodra een student (voorwaardelijk) wordt ingeschreven voor jouw vak, ontvang je als examinator een cc van deze inschrijvingsmail. Daarna ontvang je in juli aanvullende informatie over de extra tentamengelegenheid en afnamevormen. Intekenen semester 1
Studenten kunnen zich vanaf maandag 21 juli voor semester 1 (periode 1, 2, & 3) intekenen mits ze een volledige inschrijving voor het jaar 2025/2026 hebben.  Dit is ongeveer een week later dan de afgelopen jaren.

Verkorte nakijktermijn in periode 6
Wij vragen examinatoren om rekening te houden met de kortere nakijktermijn – deze examinatoren worden of zijn ook al benaderd - en de studenten met een onvoldoende of NVD voor het tentamen met voorrang in VRR te valideren, zodat deze groep studenten automatisch voor de herkansing wordt ingetekend.
Wanneer een student het vak niet heeft behaald of niet deel heeft genomen dan dient er rekening gehouden te worden met het volgende bij het valideren. Een NVD wordt ingevuld bij een onvoldoende resultaat en een NS (No Show) indien student niet aan het tentamen heeft deelgenomen. Studenten met een NS (no show) worden niet automatisch ingetekend en moeten zelf voor de herkansing intekenen via VU.nl.

Wij begrijpen dat dit een hele drukke periode is, maar hopen op deze manier alle studenten op tijd geïnformeerd en ingetekend te hebben voor het hertentamen.

Eindbeoordelingen i.v.m. afstuderen in 2024-2025
De komende maanden zullen er veel stages en scripties worden beoordeeld. Om de studenten op tijd te laten afstuderen is het van belang dat de stage/scriptie z.s.m. na inleveren wordt beoordeeld.
De deadline voor het indienen van de laatste beoordelingen van bachelor studenten is 31 juli. Beoordelingen die na 31 juli worden ingediend worden uiteraard ook nog verwerkt, wij verzoeken examinatoren echter wel om de eindwerken van de bachelor studenten met voorrang te beoordelen. Voor studenten die een master elders gaan volgen is het namelijk van belang dat hun cijfers en het afstuderen op tijd verwerkt kunnen worden. De deadline voor het indienen van de laatste beoordelingen van master studenten is 31 augustus. Wellicht overbodig, maar hoe eerder hoe beter. Uitreikingen
De data van de uitreikingen die plaats vinden in het najaar 2025 zijn gedeeld op vu.nl. Studenten kunnen hier<https://vu.nl/nl/student/afstuderen-en-diploma/afstudeerstatus-en-diploma-uitreiking#beta> zelf alvast kijken op welke dag de uitreiking van hun opleiding is.
Ongeveer 3 weken voor de uitreiking ontvangen studenten een uitnodiging met tijdstip.
Belangrijk: alleen studenten die afstuderen op 31 augustus 2025 of eerder, kunnen meedoen aan de uitreikingen in het najaar 2025.

BSA
In de eerste week van juli vindt de eerste vergadering van de BSA-commissie plaats. Studenten die vanwege persoonlijke omstandigheden niet voldoende studiepunten hebben, konden tot en met 20 juni een verzoek tot uitstel indienen. Studenten krijgen in de tweede week van juli bericht of hun verzoek tot uitstel goedgekeurd of afgewezen is.
Vanaf half juli worden iedere week definitieve groene brieven verstuurd, voor eerstejaarsstudenten en verlengers.
Op 31 juli worden de voorgenomen definitieve brieven verstuurd aan alle studenten. Uiterlijk 22 augustus moeten alle definitieve brieven verstuurd.
Studenten die bezwaar willen maken tegen het voorgenomen negatief besluit kunnen zich aanmelden voor de hoorzitting op 19 of 20 augustus. De studieadviseurs zullen aanwezig zijn op de VU op de dag van de hoorzitting(en).
Verlengers moeten vaak handmatig gecontroleerd worden, zeker als er curriculumwijzigingen zijn geweest. Er komt een technische verbetering aan, die waarschijnlijk na de zomer wordt opgeleverd. Deze zal ervoor zorgen dat het makkelijker wordt om de verlengers te controleren bij ons team. Modern Migratiebeleid (MOMI, geldt voor niet-EER studenten)
Voor MOMI studenten – internationale studenten in bezit van een verblijfsvergunning in Nederland op basis van studie – geldt dat zij jaarlijks minimaal 30EC moeten behalen voor het behoud van hun vergunning. Dit zijn regels van de IND. Eerstejaars MOMI-studenten moeten dus zowel 42 EC halen voor een positief BSA en 30 EC voor het behoud van hun verblijfsvergunning. Studenten die vanwege omstandigheden niet kunnen voldoen aan de MOMI-eis kunnen een verzoek indienen bij de MOMI-commissie. De deadline voor het indienen van een verzoek bij de MOMI-commissie is 1 juli. De procedure staat op de website aangegeven en is ook via het International Office en de studieadviseurs gecommuniceerd aan de studenten in kwestie.

LVSA-conferentie – studieadviseurs
Op 11 en 12 juni vond in Wageningen de tweejaarlijkse conferentie plaats van de Landelijke Vereniging van Studieadviseurs (LVSA). Veel studieadviseurs over het hele land – waaronder enkele collega’s van de VU – waren aanwezig op de campus van de WUR. Tijdens deze conferentie ontmoeten studieadviseurs elkaar met als belangrijk doel kennisdeling, training, reflectie en netwerken. Dit jaar was het thema “autonomie”, een onderwerp waar uitvoerig over gereflecteerd werd tijdens de verschillende workshops en de plenaire onderdelen. Het was een geslaagde conferentie die voor vele deelnemers prikkelend en inspirerend was.

Schoolyear
De Tent is niet meer in gebruik. Maar wat nu?
Om te zorgen dat er voldoende toetsplekken beschikbaar blijven waar met Testvision en andere specifieke toetssoftware kan worden getoetst, heeft een interdisciplinaire team, samengesteld vanuit o.a. IT, DCT en SOZ verschillende opties onderzocht.
Hieruit is voor de optie ‘Schoolyear’ gekozen, maar wat kan Schoolyear?
‘’Schoolyear is een technische oplossing om veilig toetsen af te nemen’’
De additionele software wordt door IT via Schoolyear aangeboden in een eigen VU AVD (Azure Vitrual Desktop) omgeving.
Schoolyear zorgt voor:

  1.  Een beveiligde toetsomgeving: Safe Exam Workspace
  2.  (Gereguleerde) Internettoegang
  3.  Aanbied van en opslaan van bestanden
  4.  Gebruik van specifieke toetssoftware: Secure Apps
  5.  Duidelijkheid van welke softwarepakketten en versienummers gebruikt kunnen maken voor tentamens.

Studiekeuzecheck
Voor 2025-2026 lopen inmiddels alle campagnes van de opleidingen die een SKC-activiteit aanbieden (offline en/of online). Voor 2026-2027 komen er drie opleidingen bij i.v.m. wegvallen Numerus Fixus: Bachelor Biomedical Sciences, Gezondheid & Leven en Computer Science. Vragen? Evalytics
De nieuwe functionaliteit Gecombineerd (combinatie Live in klas met opvolging op uitnodiging) geeft hogere respons. Er volgt nog een pilot om bij vakevaluaties deze optie als default in te stellen. Per academisch jaar 2025-2026 is de VU brede standaardvragenlijst cursusevaluaties ingekort. Aantal kern- en KPI vragen daalt van 26 naar 16, 10 kernvragen optioneel. Studiegids- en diplomasupplement tekst uitvraag via UAS
De uitvragen bij de vak-, minor- en modulegroep coördinatoren en opleidingscoördinatoren en -directeuren zijn afgerond. Team Onderwijscoördinatie is druk bezig met het verwerken van alle wijzigingen. De studiegidsteksten voor 2025-2026 zijn vanaf 1 juli in de studiegids zichtbaar. Ook zijn in de studiegids dan de jaarschema's te vinden. Roosteruitvraag
Het rooster voor semester 1 2025-2026 wordt op 11 juli gepubliceerd. In de zomer (14 juli) start de roosteruitvraag voor semester 2 2025-2026. Tot uiterlijk 5 september zijn de roosterwensen en docentbeschikbaarheid voor semester 2 in te voeren via UAS.

Curriculumuitvraag 2026-2027
In augustus zullen de opleidingsdirecteuren- en coördinatoren informatie per mail ontvangen vanuit team Onderwijscoördinatie over de curriculumuitvraag van 2026-2027 met onder andere de tijdsplanning.

Onderwijsinzetverdeling
Momenteel ronden we de uitvraag van de onderwijsinzetverdeling voor semester 2 van 24/25 af. In september is de laatste kans om aanpassingen door te voeren. In januari volgt semester 1, en in mei semester 2 van volgend jaar.
T/m augustus volgen regelmatige updates over de aanmeldcijfers en instroomprognoses. In september ontvangen OC’s en studieadviseurs lijsten van alle ingeschreven studenten, met waar van toepassing de gekozen specialisatie, en voor herinschrijvers het aantal studiepunten dat ze tot dan toe hebben behaald.

Tentamenrendement semester 1
Onlangs zijn de tentamenrendementen van de semester 1 Bèta vakken gedeeld met de OLC’s, OC’s en OD’s van alle opleidingen. Hierin is o.a. het aantal studenten en het slagingspercentage per module zichtbaar. Voor de resultaten van de eigen studenten uit de opleiding is een vergelijking gemaakt met de voorgaande twee collegejaren. Aanmeldingen en instroom 2025
Tot en met augustus verstuurt team Onderwijsdata regelmatige updates over de aanmeldcijfers en instroomprognoses. In september ontvangen opleidingscoördinatoren en studieadviseurs lijsten van alle ingeschreven studenten, met waar van toepassing de gekozen specialisatie, en voor herinschrijvers het aantal studiepunten dat ze tot dan toe hebben behaald. Mocht je de aanmeldupdates niet ontvangen maar hier wel behoefte aan hebben, neem dan contact op met onderwijsdata.beta at vu.nl<mailto:onderwijsdata.beta at vu.nl>.

Zelf onderwijsdata inzien
Om zelf inzicht in onderwijsdata te krijgen is toegang tot de Business Intelligence rapporten mogelijk. Onstage Update
Het was een spannend en vruchtbaar jaar voor Onstage: alle opleidingen van Bèta zijn inmiddels ge-onboard en vanaf komend academisch jaar draaien we volledig op Onstage. Maar eerst ligt de focus op het succesvol afronden van alle trajecten van dit academische jaar.
Bereikbaarheid zomerperiode
Het Onstage-team is gedurende de hele zomervakantie dagelijks bereikbaar voor ondersteuning via onstage.beta at vu.nl<mailto:onstage.beta at vu.nl>. Ook blijven we doorlopend inloopspreekuren aanbieden, afwisselend op dinsdagen en donderdagen. Het schema t/m september vind je onderaan. Bij deze spreekuren zijn alle coördinatoren, docenten en andere betrokken medewerkers welkom voor vragen en ondersteuning, zowel fysiek (HG-1B10a) als digitaal (Teams-link onderaan).
Stage-resultaten en vervanging tijdens vakantie
Vanuit elke opleiding dient er tijdens vakanties een vervanger/achterwacht geregeld te worden voor de stagecoördinator. Het Onderwijsbureau mag namelijk zelf geen resultaten consolideren en kan dit dus ook niet doen als aangewezen personen afwezig zijn. Het is belangrijk dat alle resultaten uiterlijk 31 augustus volledig binnen en verwerkt zijn, voor zowel de student als de administratie. Verwacht je problemen met resultaten die pas in september ingevoerd kunnen worden, terwijl beoordeling officieel in academisch jaar 24/25 plaatsvindt? Ondersteuning Formdesk-stageformulieren stopt per 1 september
Met ingang van 1 september beëindigen we definitief de ondersteuning van stageformulieren via Formdesk. De formulieren en inhoud wordt dit najaar gearchiveerd. Formdesk blijft voorlopig beschikbaar voor andere doeleinden. Heb je hier vragen of zorgen over? Feedback- en Kick-off 2025/2026 bijeenkomst
Begin academisch jaar 2025/2026 organiseert het Onderwijsbureau een bijeenkomst voor stagecoördinatoren en direct betrokkenen. Op dat moment ontvangen we graag feedback op de uitvoering in 24/25 en zal gelijk de kick-off voor het jaar 25/26 zijn. Meer informatie hierover volgt snel.
Het Onstage-team neemt binnenkort contact op met de opleidingen voor het gereedmaken van trajecten voor het komende studiejaar. interactieve carriéregids voor internationale studenten
 Een groot deel van de studenten aan de VU zijn internationale studenten die zich ontwikkelen aan de VU en benieuwd zijn hoe ze hun loopbaan kunnen starten in Nederlands.
Wekelijks krijgen Career Officers vragen als: ‘Wat kan ik verwachten van de Nederlandse Arbeidsmarkt’’, ‘’Ik heb geen idee waar ik moet beginnen’’ of ‘’Heeft de VU-connecties in het werkveld voor mij als internationale student’’. Ook worden steeds meer events bezocht door internationale studenten. De gids is ontwikkeld om internationale studenten duurzaam te empoweren en de Career Services voor deze doelgroep te professionaliseren. Met het ontwikkelen van de gids verwachten we dat de Career Services voor de internationale studenten even waardevol is als de Career Services voor de Nederlandse student.
Daarnaast ziet de VU het als haar taak om internationale studenten de mogelijkheid te geven om zich door middel van Career Services voor te bereiden op hun beroepsloopbaan na de studie en hen te verbinden aan de Nederlandse arbeidsmarkt en maatschappij.

Bacheloropleiding
We baseren onze boekbestellingen voor de bacheloropleidingen op de informatie in de studiegids, maar die is niet altijd voldoende. Soms is de literatuur nog niet bekend of staat alleen op Canvas. In dat geval is het belangrijk dat u de voorgeschreven literatuur op tijd aan ons doorgeeft.
Ook aanvullende informatie over factoren die het koopgedrag van uw studenten kunnen beïnvloeden is voor ons belangrijk. Bijvoorbeeld, gebruikt u het boek intensief op college of is het meer als aanvulling op de leerstof bedoeld.

Dear colleagues,
The academic year is coming to an end. Of course, we notice this very well at the education office where we are finishing 2025-2026 and preparing for 2026-2027. We are dealing with new applications like Onstage and we have (had) a lot of breakdowns and strikes with the necessary consequences, like all lecturers, students and support staff. We wish everyone for whom the holidays are about to start strength with the final stretch and ask you to contact us via chat, mail, phone or in person if you have any questions or uncertainties. We would like to keep the support lines as short as possible during this period, when we are available during the whole summer.

Extra examination opportunity 21 August for BETA courses: digital examination possible
This year, on Thursday 21 August 2025, the extra examination opportunity will be offered to VU students who have yet to pass one BETA course of their programme. The deadline for students to register for this is 15 July. As soon as a student is (conditionally) registered for your course, you as examiner will receive a cc of this registration e-mail. After that, you will receive additional information about the extra examination opportunity and examination formats in July. Registration first semester
Students can register for semester 1 (periods 1, 2, & 3) from Monday, July 21, if their registration is fully completed for the year 2025/2026. This is about a week later than the passed years.

Shorter grading period in period 6
We ask the examiners to take the shorter grading term – these examiners are already informed - into account and give priority to validating the results of students with a failing grade or NVD for the exam in VRR, so that this group of students is automatically registered for the resit. Please take the following in account when validating the results and if a student has not passed the course or has not participated.
Please enter a NVD if the result is insufficient and a NS (No Show) if the student did not participate in the exam.
Students who receive a NS as a result are not automatically registered and must register for the resit themselves via VU.nl.
We understand that this is a very busy period. However, with these adaptions we try to inform and enroll students on time for the resit.

Final assessments for graduation in 2024-2025
In the upcoming months, many internships and theses will be assessed. In order for students to graduate on time, it is important that the internships/theses are assessed as soon as possible after submission.
The deadline for submitting the final assessments of bachelor students is the 31st of July. Assessments submitted after the 31st of July will of course still be processed, but we do request examiners to assess the final projects of bachelor students with priority. For students who are going to follow a master elsewhere, it is very important that their grades and graduation can be processed on time. The deadline for submitting the final assessments of master students is the 31st of August. The sooner the better, of course. (Please also check out the onstage update in this news letter)

Graduation ceremonies
The dates for the graduation ceremonies for fall 2025 have been shared on vu.nl. Students can check here<https://vu.nl/en/student/graduation-and-diploma/graduation-status-and-ceremony> to see which day the ceremony of their programme will take place.
About 3 weeks before the ceremony students will receive an invitation with the exact time.
Important; only students graduating on August 31, 2025 or earlier can participate in the 2025 fall graduation ceremony.

BSA
The meeting of the BSA board takes place in the first week of July. Students dealing with personal circumstances could submit a request until June 20th. Students will receive a message in the second week of July whether or not their request has been approved.
From mid-July, final green letters will be sent to first-year students and extenders every week.
On 31 July, the intended final letters are sent to all students. By 22 August, all final letters must be sent at the latest.
Students who object to an intended negative decision will be invited to the hearing on August 19 or 20. The academic advisors will be present at the campus on the day of the hearing(s).
Extenders often need to be checked manually, especially where there have been curriculum changes. A technical improvement is coming, which is likely to be implemented after the summer. MOMI (modern migration policy for non-EU students)
MOMI students are required to obtain a minimum of 30 EC annually for their residence permit based on study. These are IND regulations. Hence first-year Bachelor students must obtain 42EC for a positive BSA and 30EC in order to hold the right of their residence permit. Students who do not meet the MOMI requirements due to personal circumstances can send a request to the MOMI Board. First-year international Bachelor students who hold a Dutch study permit must deal with two different procedures (MOMI and BSA). The deadline for submitting a MOMI request is July 1st. The procedure is on the VU website and was communicated to students in question via International Office and the academic advisors.

LVSA conference – academic advisors
The biennial conference of the LVSA (in Dutch: Landelijke Vereniging van Studieadviseurs) took place in Wageningen on 11 and 12 June. Many academic advisors across the country - including some colleagues from VU Amsterdam - were present on the WUR campus. During this conference, academic advisors meet each other with the important aim of knowledge sharing, training, reflection and networking. This year's theme was ‘autonomy’, a topic that was reflected on extensively during the various workshops and plenary parts. It was a successful conference that was stimulating and inspiring for many participants.

Schoolyear
We cannot use the TENT anymore. But what now?
To ensure that enough exam locations are available for exams with Testvision and other specific testing software. An interdisciplinary team from IT, CDT and SOZ has been assembled to explore different options.
Out of these explorations ‘’Schoolyear’’ has been chosen. But what is Schoolyear?
‘’ Schoolyear is a technical solution to test exams in a save environment’’
The additional software will be presented by IT in our own VU AVD (Azure Vitrual Desktop) Environment.
Schoolyear provides:

  1.  A save exam environment: Safe Exam Workspace.
  2.  (regulated) internet access
  3.  Option to save files
  4.  Use of specific exam software; Secure Apps
  5.  A clarity of which software systems and versions are available to use for exams.

Study choice check
For 2025-2026, all campaigns of the programmes offering an SKC activity (offline and/or online) are running. For 2026-2027, three programmes will be added due to the cancellation of the Numerus Fixus: Bachelor Biomedical Sciences, Health & Life Sciences and Computer Science. Questions? Evalytics
The new functionality Combined (combination Live in class with follow-up by invitation) gives higher response rates. A pilot will follow to set this option as default in course evaluations. Per academic year 2025-2026, the VU-wide standard questionnaire of the course evaluations has been shortened. Number of core and KPI questions reduced from 26 to 16, 10 core questions optional. Study guide and diploma supplement text request via UAS
The requests to subject, minor and module group coordinators and programme coordinators and directors have been completed. Team Education Coordination is busy processing all changes. The study guide texts for 2025-2026 will be visible in the study guide from 1 July. Annual schedules can also be found in the study guide then. Schedule request
The schedule for semester 1 2025-2026 will be published on 11 July. In summer (14 July), the schedule request for semester 2 2025-2026 will start. Scheduling requests and teacher availability for semester 2 can be entered via UAS until 5 September at the latest.

Curriculum request 2026-2027
In August, programme directors and coordinators will receive information by e-mail from team Education Coordination about the 2026-2027 curriculum request, including the planning for registering studyprogrammes.

Exam results semester 1
Recently, the exam results of the semester 1 Beta courses were shared with the OLCs, OCs and ODs of all programmes. These include the number of students and the pass rate per module. For the results of the programme's own students, a comparison was made with the previous two academic years. Applications and enrolment 2025
Up to and throughout August, the education data team sends regular updates on application figures and enrolment prognoses. In September, programme coordinators and student advisors receive lists of all enrolled students, including, where applicable, the chosen specialisation and, for re-enrolled students, the number of credits they have obtained so far. Onstage Update
It has been an exciting and fruitful year for Onstage: all programmes of the Faculty of Science have been successfully onboarded, and from the upcoming academic year onward we will operate entirely on Onstage. But first, we focus on successfully completing this academic year’s internship trajectories.
Availability during Summer
The Onstage team will remain available for support throughout the entire summer break via onstage.beta at vu.nl<mailto:onstage.beta at vu.nl>. Additionally, we will continue holding our open consultation hours, alternating between Tuesdays and Thursdays. You will find the schedule until September included at the bottom. These sessions are open to all coordinators, teachers, and other involved staff, both physically (HG-1B10a) and digitally (Teams link below).
Internship results and replacement during holidays
Each programme must ensure a replacement or back-up for the internship coordinator during holiday periods. The Education Office itself is not authorized to consolidate results and thus cannot perform this task if the designated staff is on holidays. It is essential that all internship results are fully submitted and processed by 31 August for both the student and administrative purposes. Do you foresee any problems with results that need to be entered in September, even though assessment officially takes place in the 24/25 academic year? Support for Formdesk internship forms ends 1 September
Starting 1 September, we will end support for internship-related forms via Formdesk. Forms and content will be archived this autumn. Formdesk itself remains available for other purposes for the time being. Feedback and Kick-off meeting 2025/2026
At the beginning of the academic year 2025/2026, the Education Office will organize a meeting for internship coordinators and closely involved staff. During this session, we would like to receive feedback on the processes from 24/25 and will simultaneously hold the kick-off for the new academic year. Interactive career guide for international students
A large proportion of students at Vrije Universiteit Amsterdam are international students who are developing their skills at the university and are curious about how they can start their career in the Netherlands.
Every week, Career Officers receive questions such as: “What can I expect from the Dutch job market?”, “I have no idea where to start” or 'Does VU have connections in the professional field for me as an international student?
International students are also attending more and more events. The guide has been developed to empower international students in the long term and to professionalise the Career Services for this target group. With the development of the guide, we expect the Career Services for international students to be just as valuable as the Career Services for Dutch students.
In addition, the Vrije Universiteit Amsterdam sees it as its task to give international students the opportunity to prepare for their professional careers after graduation through Career Services and to connect them to the Dutch job market and society.
